How to setup the actions in the journey builder to send document to e-signing

Here we will go over how to set up the Taktikal actions in a journey, here are the steps needed. You can put these actions into you own journeys when ever you need to send a document to be signed.

Add actions to create a document, fill it out and convert it into a PDF. That PDF is then sent to e-signing with Taktikal .

Send contract to signing action

You get the file from the "Convert contract to PDF" action above and you put in your own Flowkey provided by Taktikal.

Below this you need to fill out the information about who is signing the document. Usually this is the traveller but for employee contract this is often the manager or HR as well. It is required to put in one person that should sign the document, press "Add more" to add people to sign.

Webhook action

Get the Key from the "Send document to siging" action

There is not a special action to get the file when signed, but you can access it from the Webhook and send it in an email or upload to payroll system.

Send or use the signed document

- with the signed document as an attachment

Select Field map

and then select the "Signed Document" from "Webhook"

Extra features

Sending attachments with the e-signing (only to be viewed, not signed)

In some cases you might want to send attachments with the document that should be e-signed, without these attachments being e-signed as well.

For example if you are sending an application for e-signing by the manager, but you want the manager to also view the criminal records before they sign the contract.

How this looks:

You can see the "View attachments" next to the document which should be signed:

When you click it, you can view all the documents there:

Change the file field to "File", like this:

You also need to add a Custom value here for the endpoint where you send the original document to signing:

Just add the ./jq Query: .signees[0].key

And remember to click "Save" here:

Then you just field map it like this:
