Jira: Create a dedicated admin user

How to set up a separate Jira user for Journeys.

Once you're done, Journeys connects to Jira with an account that belongs to your company, not to one person. The connection keeps working when someone leaves your team.

✅ Before you start

  • You need admin access in Jira.

  • You need a shared email address for the new user, e.g. integrations@yourcompany.com. A shared inbox means password resets and security emails reach your team, not one person.

  • Note that the dedicated user counts toward your plan's user limit like anyone else.

Step 1: Invite the user

  1. Log in with your current admin account.

  2. Click on the gear next to your profile icon and then on User management.

  3. Once in the new screen, click on Invite users on the top right side.

  4. Now enter your dedicated admin user email address, and tick "Give organization admin access".

You can also read more about admin roles by following the link in Jira's warning.

  5. You can ignore the roles and click Next and Grant access afterwards, roles will be assigned automatically (you can also customize them later if needed).

  6. Now that the process is finished, you should receive an email in the dedicated user's address.

  7. You can now log out and log in with your new dedicated admin user credentials.

Step 2: Add the user to your Jira projects

You need to add the dedicated user to each project you would like to manage from Journeys later, to do so:

  1. Open the project in Jira and click on the three dots, then on Space settings.

  2. Next, click Add people and enter the name of the dedicated admin user.

  3. Set the role to Administrator and click Add.

  4. Repeat for every project you want to use with Journeys.

Step 3: Connect Jira in Journeys

That's it! Now head back to the Connect window in Journeys, and follow the remaining steps to finish setting up the connection 🚀
